Position Objectives:

• High level customer service with a sales focus to maintain existing client base, grow repeat business and gain new clients

• Accountable for meeting sales targets annually and monthly.

Agent and Client Relationship Management:

• Develop and maintain high level relationships with travel agents and clients

• Handling of telephone, email, face to face and web enquiries

• Consistent follow-up of all enquiries, quotes and options to ensure maximum conversion of potential business into sales

• Promoting all Sundowners Overland and Vodkatrain products in a positive, detailed and informative manner to all clients/agents

Bookings Management:

• Creation of customized individual travel plans, land and air reservations with our global travel agent partners

• Creation of personalized client documentation

• Processing client visas within appropriate time frames

• Management of accurate client data in CRM system

• Management of accurate booking data in Reservations system

• Engage with clients and travel agents through Live Chat

Essential Attributes:

• Focused on delivering and exceptional client experience to all our clients and agents

• Certificate III in Travel - or higher

• Proven ability to deliver sales targets

• Understanding of wholesale travel industry

• High level of attention to detail whilst retaining the ability to see the 'bigger picture'

• Proven ability to meet deadlines under pressure, demonstrate flexibility and be able to act on own initiative

• High level of computer literacy

• Proficient in flight reservation systems

• Effective communicator to manage external and internal relationships and to inspire and inform our clients

• Strong team player as well as ability to work alone

• Passion for travel and the desire to develop an in depth knowledge of Vodkatrain and Sundowners Overland destinations

• At least 12 months experience in a similar role would be advantageous

 Position Objectives and Responsibilities:

             To develop and maintain a consistent and up to date product database that is efficient, detailed, accurate and accessible to all required users.

             To provide exceptional customer service to internal and external customers.

             To communicate effectively and consistently with our local partners and internal team members to maintain excellent relationships.

             To assist in the Booking process to ensure the smooth delivery of services to our customers

Product Database Management, Development & Maintenance – in conjunction with Product team

             Maintain consistency of information across all areas: Product database and internet/intranet.

             Create detailed price request documents using MS Excel

             Obtain contracted rates from all local partners in a timely manner

             Load contracted rates and maintain all product information in product database in an accurate and timely manner

             Ensure accuracy of journey inclusions as per tour run sheets and brochure information

             Ensure data integrity on a regular basis (on web and internally)

             Ensure accurate representation of each product (description, prices, availability)

             Perform analysis of prices provided by suppliers

             Provide reports as requested on product utilization

 Bookings Management – in conjunction with Bookings Team

  • ·        Produce client documentation (booking confirmations, visa support, journey itineraries etc.)
  • ·        Liaise with local suppliers to request, confirm and enquire about services and obtain invitation letters for our clients’ visa applications
  • ·        Ensure reservations are correctly confirmed and priced 
  • ·        Check documents and bookings for errors
  • ·        Work closely with our other departments (Sales, Product, Accounts) to achieve a high standard of overall client experience

  Relationship Management:

             Maintain and grow relationships with suppliers in our destinations

             Source and establish new supplier relationships in conjunction with Product Co-ordinators and Ground Operations Manager

Annual Brochure Production:

             Create and input data for pricing of all Sundowners Overland and Vodkatrain product for annual brochures and ad hoc marketing campaigns

             Source new product as required

             Collate destination information for new journeys as required


Essential Attributes:

             Suitable role for accounts competent person with high level of numeracy and strong analytical skills

             High level of attention to detail whilst retaining the ability to see the ‘bigger picture’

             Process driven with strong organizational skills – logical approach to decision making

             Proficient in all Microsoft Office packages and in particular a high level of skill in Microsoft Excel

             Excellent verbal and written communication

             Ability to prioritise and manage multiple tasks, work well under pressure and meet deadlines

             Highly motivated and strive to deliver high quality and accuracy of work

             Client focused
